Therapist scheduling: weekly sessions, no-shows and rescheduling
A therapy calendar has its own rhythm: weekly sessions at the same time, telehealth and in-person mixed together. These practices keep the week predictable.
Recurring weekly time
Give each client the same day and time every week. If someone misses once, cancel only that date and keep the recurring slot.
Breaks between sessions
50-minute sessions with a 10-minute break let you start the next one on time. Keep the break on the calendar.
The first session
At the front desk, ask only what you need to book: name, contact and telehealth or in person. The reason for seeking therapy belongs in the session.
Agree on cancellations in writing
Agree with each client, in writing, how rescheduling and missed sessions work. The policy is yours; the front desk just repeats it kindly.
Time off
Block your time off well ahead so nobody books into it.
Discreet messages
Reminders without the service name protect confidentiality.
