Appointment reminder messages: templates and when to send them
A good reminder is short, arrives at the right time and makes confirming or rescheduling easy. Here are templates to copy and adapt.
When to send
The day before, late morning, works for most calendars. For very early appointments, send it early in the afternoon the day before.
What every reminder needs
First name, day, date, time, address (or link for telehealth) and an easy way to reply. Never the reason for the visit: it may show on a lock screen.
Standard template
"Hi Mariana! A reminder of your appointment tomorrow, Tuesday 3/12, at 2 pm at 120 Flower St. Can you confirm? Tap Confirm, or Reschedule if you need to."
Discreet template (therapy)
"Hi Mariana. A reminder of your time tomorrow, Tuesday, at 7 pm. Can you confirm here?" No service name, no cheerful emojis.
Use the official WhatsApp API
For automatic reminders, the safe route is the official WhatsApp Business Platform with approved templates. Tools that automate WhatsApp Web through a QR code break WhatsApp's rules and can get your number banned.
Respect opt-outs
Send reminders only to people who booked, and give them a simple way to stop automatic messages.
LumiaClinic sends the reminder the day before through the official WhatsApp API, with a Confirm button; anyone who can't come reschedules on their own. Try the demo with fictitious data.
